Terms and Conditions – Studios

1. Lessons – how they work

Lessons are held on the same day and at the same time each week, unless otherwise arranged.

Lessons are generally given by the same tutor each week, however we will sometimes substitute a different tutor as circumstances require.

Lessons are held during the South Australian school terms, school holiday lessons may also be available, we will advise during the year.

Please do not attend lessons if you or your child is ill. Your tutor has the right to refuse to take the lesson if they suspect illness.

2. Instrument – do I need my own

Yes. At the very least to practice at home.

Students must also bring their own instrument to the lesson, the exception being drums and piano, which are provided at the studio. We hire instruments if required, see below.

3. Enrolment

Enrolment starts by sending a completed enrolment form to us. We will then contact you to find a suitable lesson slot. You may have already been offered a lesson slot in which case just include the details on the form.

We will then confirm your enrolment including disclosure of all fees and charges.

4. Enrolment Types

There are two enrolment types, Prepaid and Casual.

4.1. Prepaid Enrolment

You pay for up front for a term’s worth of lessons, at a discounted price.

We calculate the number of lessons in each term as the number of weeks in the term (varies between 9 and 11) minus the number of public holidays that fall on your lesson day.

We then invoice you for that number of lessons, at a discounted rate.

Lessons cannot begin till payment is received. After two weeks of non-payment, the account is cancelled.

Enrolment can occur at any time. If part way through the term you will be invoiced according to the number of weeks remaining.

Enrolment is ongoing, that is, you will automatically be re-enrolled next term unless you notify us in writing of your intent to withdraw. This includes automatic reenrolment into the first term of the following year.

Cancelled/missed lessons

If you are going to miss a lesson, we need 48hrs written notice via email and your account will be credited one non-refundable lesson on the next term’s invoice. Failure to give 48hrs notice will result in the lesson being forfeited. A maximum of two non-refundable credits may be accumulated each term, after which missed lessons, even with 48hrs notice result in forfeiture of the lesson.

If we fail to provide a lesson it becomes a refundable credit.

Credits are deducted from the next term’s full invoice.

Withdrawal

Withdrawal can only occur at the end of the current term. Written notification of withdrawal must be received by us prior to the end of the current term via email. Only when we have confirmed the withdrawal shall the withdrawal be considered effective. Failure to give proper notice will result in ongoing lesson charges. Giving notice to your music tutor does not constitute giving proper notice. Any refundable credits left on your account (as a result of us not providing a lesson) will be refunded. Non-refundable credits (as a result of a missed lesson) are forfeited.

Switching to Casual

Effectively equivalent to Withdrawal (see above) followed by re-enrolment as Casual.

4.2. Casual Enrolment

You pay as you go, the full lesson cost, payment at the studio or via EFT. You may pay for as many lessons in advance as you wish.

Enrolment is ongoing, that is, until you notify us in writing of your intent to withdraw. This includes automatic reenrolment from one year to the next.

Payment for lessons must be made no later than the day of the lesson.

Lessons are suspended and you risk losing your timeslot once your account balance is negative.

Miscellaneous charges such as books and hire instruments will be invoiced and payable within 7 days.

Cancelled/missed lessons

If you are going to miss a lesson, we need 48hrs notice, otherwise the lesson is chargeable, the same as if you had attended. If you miss more than two lessons in a row we reserve the right to offer your place to another student.

Withdrawal

Any unused funds on your account at the time of withdrawal will be refunded.

Switching to Prepaid

Just give us 48hrs written notice. Giving notice to your music tutor does not constitute giving proper notice. Any unused monies on your account at the time of the switch will be refunded or credited against your first Prepaid invoice.

5. Payment Terms

Our payment terms are strictly 7 days from invoice date. If payment of fees has not been received within one week of the due date, attendance will be suspended until full payment, including late fees ($15), has been received and processed in our office. No credit is provided for missed lessons due to unpaid invoices, to keep your timeslot available. If payment is not received or alternative payment arrangements have not been made within two weeks of the due date, the matter will be transferred to a debt collection agency.

6. Instrument Hire (Prepaid and Casual)

Instrument hire is on a term-by-term basis and ongoing until you advise us you wish to cancel. Cancellation can only occur at the end of a term. Written notification of cancellation must be received by us prior to the end of the current term. Only when we have confirmed the cancellation shall the cancellation be considered effective.

Instruments and accessories are expected to be returned at the end of the hire period in a similar condition to which they were issued, allowing for reasonable wear and tear. We reserve the right to charge for repair or replacement of the instrument where this is not the case.
